Onboarding - Professional Practices

Data Capture

The purpose of outsourcing is to free up your resources, not to tie them down. We understand that time is precious, so we keep the time we need from you and your team to an absolute minimum.

The straight forward part is getting the authorisations to engage with your current vendors, and start building your hub. This, in most cases, is as simple as arranging letters of authority for us to engage with the vendors directly. Once we have that we can speak with the directly and collate your information.

We don't just look at your services. We talk to your people.

Often, your team is so well practised that the problems are invisible. Only the person with the 'sticky tape' truly understands the time and pressure involved in juggling secret spreadsheets, manual workarounds, and constant multitasking. To fully understand this, we need to be in the room.

We need to sit with the stakeholders in two key areas:

Admin Review We sit with your Admin leads to map the current systems architecture. We identify the silos, the security risks, the processes connecting your systems and the "rabbit holes" your team find themselves pulled into while completing an average months work cycle.

Management Interviews We interview key department heads (Finance, Sales, Ops). We find out where the friction is—what stops them from getting answers? What takes them 4 hours when it should take 4 minutes?

The Outcome: You receive a comprehensive Gap Analysis We compare your current state against your goals, from a company wide perspective. We identify the low hanging fruit that has low disruption/high impact. More importantly, however, this provides context - nothing will ever be perfect, knowing why the status quo exists is a critical piece of data you need available for future decision making.

We aim to complete the full onboarding process—including the hub build—within five working days of receiving the necessary vendor authorisations.
